Wine cellar management — without a spreadsheet

A few thoughts on what helps once a cellar grows, and what a spreadsheet eventually stops being able to do.

When a spreadsheet is enough — and when it isn't

For a few dozen bottles a simple list is usually plenty: name, vintage, quantity, done. It tends to get unwieldy in three places. First, once bottles move around — one goes into a glass, one is given away, one moves from the cellar to the kitchen to be opened soon — and the spreadsheet only counts a number down instead of recording what actually happened. Second, once more than one person is adding entries and the list gets maintained twice or forgotten. Third, once you are standing right at the rack wanting to know what you have, rather than looking it up at a computer later.

If you want to start with a spreadsheet: our free wine cellar spreadsheet template has the columns that matter already set up.

What wine cellar management should actually do

Three things make the biggest difference, whether on paper, in a spreadsheet or in an app:

Drinking windows: a guide, not an exact science

One more word on drinking windows, since that is often the first question: grape variety, vintage and — where available — the producer's own notes give a rough sense of when a wine typically reaches its best moment. That is not an exact science. Storage conditions, closure type and your own taste shift that window noticeably in both directions. Any honest estimate should therefore make clear what it rests on — a general rule of thumb, the producer's guidance, or your own experience — rather than being sold as a blanket promise.

The rules of thumb we work with — limits included — are here: how long to cellar wine.

Frequently asked questions

Is a spreadsheet enough for a wine cellar?

For a few dozen bottles, often yes. It gets unwieldy once bottles move around (cellar, glass, given away), once more than one person is adding entries, or once you want to check while standing at the rack rather than sitting at a computer.

What should wine cellar management capture as a minimum?

What you have, where it sits, where it came from — especially for small growers no database knows — and what has happened to it, rather than just a shrinking bottle count.

How precisely can a drinking window be determined?

Only as a rough guide. Grape variety, vintage and producer notes give a tendency, not a guarantee — storage, closure and personal taste shift that window noticeably in both directions.

What we're building

Corko is being built for exactly this: capture wines by photographing the label — including growers no database knows — record every movement of a bottle as its own entry instead of a shrinking number, and show what each drinking-window hint rests on. Corko is currently in testing; join the waitlist and we'll let you know the moment it's available.
